The President of our organziation has scheduled a meeting in a location that is 3 hours and 35 minutes away from our office minimum time not including the possibility of traffic. One of our employees is supposed to accompany him to this meeting; the meeting is scheduled to last 5-6 hours. The employee wants to travel to the location the night before the meeting and get a hotel. The employee has offered to pay for the hotel himself and not charge our office for mileage. The President of our organization refused to allow the employee to do this and stated that he will travel to the meeting by himself. The employee is upset because the meeting is with one of his clients and believes it is vital that he be in attendance. The employee has filed a greivance. He states that he should be allowed to attend the meeting since he is willing to pay for the extra cost incurred and will not be missing any work time. Any thoughts or idea on how to handle this situation?
